POSITION:             Project Coordinator, Business Process Analysis

EMPLOYER:           Provident Energy Management Inc. (“PEMI” or the “Company”)

STATUS:                Full time/Permanent/Salary/Non-exempt

REPORTS TO:       Product Engineering & Quality Assurance Manager or designate as deemed appropriate

 ROLE

The Project Coordinator plays a key role in ensuring efficient administrative and operational support across projects and business functions. The incumbent is responsible for coordinating administrative processes, maintaining business documentation, handling scheduling and reporting tasks, supporting internal and external communications, and ensuring smooth daily operations. The role involves assisting with business process organization, tracking deliverables, managing service orders, and liaising with multiple departments and external stakeholders to ensure projects are completed effectively. Additionally, the role includes analyzing business processes, identifying improvement opportunities, and contributing to the optimization of organizational tools and procedures.

 RESPONSIBILITIES

Essential Duties and Responsibilities include, but are not limited to the following:

Administrative Coordination & Data Management

 Maintain and organize business documentation, records, and compliance reports.

  • Develop and implement administrative policies and ensure adherence to business process standards.
  • Prepare and distribute internal reports, data summaries, and analytical insights.
  • Perform data validation, cleansing, and process automation to optimize administrative workflows.
  • Utilize SQL and data modeling tools to support administrative data reporting.
  • Ensure database integrity and manage exception reports, escalating inconsistencies to leadership teams.
  • Maintain and update Standard Operating Procedures (SOPs) related to data-driven business operations.
  • Develop project plans and schedules, ensuring milestones are met within technical and operational constraints.
  • Manage administrative project tracking tools, ensuring real-time workflow visibility.
  • Monitor and analyze data workflows for process improvements and business efficiency.
  • Coordinate service orders, scheduling, and task delegation using ERP and workflow management tools.
  • Maintain up-to-date tracking of project deliverables, ensuring all operational metrics are met.
  • Track and verify service provider invoices, ensuring alignment with contractual agreements.
  • Ensure effective document control and version tracking for business-critical records.
  • Conduct business process analysis with project managers to identify inefficiencies.
  • Map and document workflows using BPMN methodology and process automation tools.
  • Implement workflow automation and digital tools to enhance operational efficiency.
  • Generate and present data-driven reports to leadership teams for strategic decision-making.

  • Act as a liaison for compliance-related administrative processes.
  • Ensure adherence to company policies, regulatory standards, and administrative procedures.

CORE COMPETENCIES

REQUIREMENTS

  • Minimum one year of proven work experience in the field
  • Minimum bachelor’s degree required
  • Working knowledge of Cogsdale CSM required
  • Business process analysis and process improvement experience required
  • Familiar with requirements gathering, data/process modeling and reporting tools
  • Experience working with submetering data in Ontario required
  • Experience with BPMN methodology required
  • Must be highly proficient in MS Office including Excel
  • Proficiency in SQL required
  • Strong written & oral communication skills in English as English is the language of work

 BUSINESS ADDRESS / LOCATION OF WORK

We are located at 20 Floral Parkway, Concord, ON, L4K 4R1 Canada; incumbent is expected to work  at our business location and across GTA if needed

 COMPENSATION PACKAGE

The compensation package includes an annual wage of $70,865.60 with a workload of 40 hours per week. The comprehensive benefit package includes paid time off, extended health coverage, dental, vision care, short/long term disability programs, Health Spending Account and Group Retirement Savings Plan with employer match contributions
